Salon Admin Assistant/Reception Personnel

The Salon Admin Assistant/Receptionist is responsible for managing the front desk, providing excellent customer service, and supporting administrative functions within the salon. This role requires exceptional communication skills, multitasking abilities, and a friendly demeanor.

Responsibilities

Greet and Welcome Clients:

  • Warmly welcome clients as they arrive at the salon.
  • Provide a positive first impression, creating a friendly and inviting atmosphere.

Appointment Scheduling:

  • Manage the salon's appointment book or software system.
  • Schedule and confirm client appointments, ensuring accurate details.

Customer Service:

  • Address client inquiries, concerns, and complaints in a professional and courteous manner.
  • Provide information on services, pricing, and availability.

Answering Phones and Emails:

  • Handle incoming calls and emails, directing them to the appropriate staff members.
  • Respond to general inquiries and provide basic information.

Maintaining a Tidy Reception Area:

  • Ensure the reception area is clean, organized, and well-maintained.
  • Arrange reading materials and promotional materials for clients.

Payment Processing:

  • Handle cash, credit card transactions, and other forms of payment accurately.
  • Issue receipts and maintain proper records of transactions.

Retail Sales Support:

  • Assist clients in selecting and purchasing retail products, explaining their benefits and usage.

Assisting with Administrative Tasks:

  • Assist in managing inventory of salon products and supplies.
  • Perform data entry tasks, including updating client records and sales transactions.

Coordination with Salon Staff:

  • Communicate with stylists, estheticians, and other staff members regarding client appointments and special requests.

Upholding Salon Policies:

  • Enforce salon policies and procedures, ensuring a safe and pleasant experience for all clients.

Handling Special Requests:

  • Accommodate special requests from clients, such as rescheduling or specific stylist preferences.

Maintaining Knowledge of Services:

  • Stay updated on salon services, packages, and promotions to effectively promote them to clients.

Qualifications

  • High school diploma or equivalent.
  • Previous experience in a customer service or administrative role is preferred.
  • Proficiency in using salon management software or appointment booking systems.
  • Strong communication and interpersonal skills.
  • Ability to handle cash and process payments accurately.
  • Knowledge of salon services and products is a plus.
  • Well-groomed and professional appearance.

Working Conditions

  • The job may require standing for extended periods.
  •  Flexible work hours, including evenings and weekends, may be necessary.
  • Exposure to various hair and beauty products may be required.
